Automatically delete recipient data

Overview

Tremendous can automatically erase recipients’ personally identifiable information (PII) we collect to deliver rewards - such as recipients’ names, email addresses, and bank account details - once our legal retention period has passed. Automating data deletion helps:

  • Meet regulatory requirements such as local privacy laws
  • Protect recipient privacy and reduce the risk of data exposure

Understand this feature

What gets deleted? When is it deleted?
Recipient data collected for reward delivery and payout processing (e.g., name, email, phone, address, bank details) - 6 years after a reward is sent
- 7 years after a prepaid card expires
  • Deleted fields are replaced by a placeholder (for example, “Deleted Recipient”) everywhere in the Tremendous dashboard and exports.
  • Other reward-related data (amount, currency, reward status, etc.) remains intact and available in reports.

How to turn on data deletion

Account type How to enroll Can opt out later?
Active (placed an order within 2 years)  Email support  (clients@tremendous.com) to enable data deletion on your account. Yes. Contact support any time.
Inactive (no orders in the past 2 years)  Data deletion is enabled   automatically. No. This is mandatory.
Terminated  Data deletion is enabled   automatically. No. This is mandatory.

New customers are not opted in by default. If you need recipient data deleted on a rolling basis, please request enrollment during onboarding.

What to expect after enrollment

  1. Enrolled – Once your account is enrolled, admin users will receive a confirmation email.
  2. Scheduled – Once Tremendous finds the first reward that meets the retention threshold, deletion is scheduled within 30 days. Admin users receive an email reminder.
  3. Active – Eligible data is erased on the scheduled date, and admin users receive a confirmation email. From this point on, Tremendous checks for and deletes eligible data daily. No further emails are sent.

Stopping and cancelling data deletion

Active clients may request to disable the feature. Email support, and we can turn it off at any time.

We cannot disable data deletion for inactive or terminated accounts; in these cases, please export your reward history if you’d like to retain the data.
